What you will be doing:

• Supporting the project team in the delivery of general administration duties such as the issue of access cards, preparation of agendas and minutes.
• Coordinate between various projects and Project Managers allocating employees and resources.
• Checking and ensuring timesheets are submitted on time for payroll processing.
• Mobilisation of employees and contractors to project site.
• Subcontractor onboarding and offboarding.
• Assisting management in the creation of reports such as project delivery plans, monthly status reports, financial and schedule updates as well as client reports.
• Organising travel and accommodation bookings.
• Handling finance and procurement duties, including raising and receipting purchase orders, coordinating transport and logistics, obtaining quotes and sourcing materials.
• Ensure contract and documentation requirements are adhered to.
• Reviewing work orders and scope of works.
• Attending client kick off meetings, where required.
• Ensuring the project team meets deadlines and deliver project milestones on time.
• Setting up and maintaining project management and document management systems.

What we are looking for:

• 2 years’ experience in a similar position.
• Organisational skills within a fast-moving dynamic environment.
• Strong financial analysis skills and a focus on administration.
• Proven ability to prioritise tasks, meet deadlines, and manage time efficiently.
• Proficiency in Microsoft word, excel, outlook and projects.
• Experience with developing workflows and tracking systems including change management, vendor equipment delivery and document control.
• Experience updating and maintaining data including milestone dates, RFI’s, design changes, and change orders in project management software.
